- Improved work efficiency
- Enhanced security
In this interview, we asked Ito(伊藤) san, from the Tokyo Rope IT Departement about the background of adopting Rakuten Drive, its usage status, and the benefits of its implementation.
Adoption Background
What challenges were you facing before adopting Rakuten Drive?
When sending or sharing files with external partners, employees were individually using various third-party file sharing services. This raised significant security concerns and made it difficult to manage file transfers in a unified way. To address these issues, the IT Planning Department recognized the need for a secure and standardized file sharing solution to be officially provided within the company.
What was the decisive factor in choosing Rakuten Drive?
The unlimited number of users was a key deciding factor. Many other services charge per account, and we wanted to avoid increased costs due to user growth, especially considering external users. Rakuten Drive's unlimited user policy, along with its flexible storage plans and reasonable pricing, was very appealing. Furthermore, the Microsoft 365 document editing feature was also a crucial point. Since we frequently share documents with external parties, the ability to edit documents without formatting issues was extremely valuable.
Addoption Benefits
How are you currently using Rakuten Drive?
We primarily use it in our sales and back-office departments for sending large files and sharing documents. It's very convenient because the formatting, formulas, and layout remain intact even when editing shared documents in a browser. We find Rakuten Drive's collaboration feature to be excellent, as it allows external partners without accounts to freely edit and view shared files.
How has adopting Rakuten Drive improved your business operations?
We've seen a significant improvement in work efficiency thanks to the easy and convenient transfer and sharing of large files. For example, we can now send large, multi-page PDF files over 100MB in size all at once without having to split them up, which we had to do previously. Furthermore, we haven't received any feedback from external users expressing resistance or difficulty in using the system.
Final thoughts
What would you say to companies considering adopting Rakuten Drive?
We recommend it for companies that need to accommodate both internal and external users. Many other services charge per account, which can lead to significant cost increases as the number of accounts grows. However, Rakuten Drive offers capacity-based plans with unlimited users, allowing you to use the service with peace of mind.
